Position Summary
The Office Manager is a trusted, high-accountability role reporting directly to the Senior Legal Counsel. This position acts as the central administrative and operational coordinator for the head office, ensuring that workflows, documentation, and office operations are organized, controlled, and executed to a high professional standard.
All administrative support related to Legal and general office functions flows through this role to ensure consistency, accuracy, and streamlined execution. The ideal candidate is detail-oriented, discreet, highly organized, and comfortable operating in a fast-paced, executive-level environment.
Key Responsibilities:
Office Operations & Workplace Management
- Oversee the day-to-day functionality of the head office to ensure a professional, well-run, and executive-ready environment
- Proactively manage office supply inventory (kitchen, washrooms, and common areas) to ensure uninterrupted operations
- Act as the point of coordination with external service providers, including cleaning services, and flag any operational issues
- Ensure workplace standards related to cleanliness, safety, and presentation are consistently maintained
- Take initiative to address urgent office needs when required to maintain business continuity
Legal & Administrative Support
- Provide direct administrative support to the Senior Legal Counsel, including document preparation support, printing, filing, scanning, tracking, and record management
- Manage legal documentation and maintain structured physical and digital filing systems
- Ensure all documentation is handled accurately, confidentially, and in accordance with internal processes
Front Office & Reception Management
- Serve as the first point of contact for the head office, managing visitors, deliveries, and inquiries in a professional manner
- Oversee incoming and outgoing mail, courier packages, and document shipments
- Maintain control over document and parcel flow to and from the office
General Administrative Coordination
- Coordinate shipping and receiving of documents and materials for the office
- Support internal stakeholders with administrative requests routed through the Senior Legal Counsel
- Assist with scheduling, coordination, and internal logistics as required
- Contribute to process improvement and administrative efficiency within the office
Qualifications & Experience
- 3–5 years of experience in an Office Manager, Executive Assistant, or senior administrative role
- Prior experience in a QSR, franchising, retail, or fast-paced corporate environment is strongly preferred
- Proven ability to manage confidential and sensitive information with discretion
- Strong organizational and document management skills
- Professional communication skills (written and verbal)
- Comfortable working in an executive environment with shifting priorities
- Proficiency in Microsoft Office (Word, Excel, Outlook) and standard office systems
